Your details are yours.
We ask only for what a service needs, we use it only for that service, and we never sell it. You can unsubscribe from any email in one tap and ask for your account details to be copied or removed whenever you like.
Each section below covers one part of The Flower. Where a service is opening soon, this notice already describes what it will keep, so you know before you use it.
01
The short version
- The launch list keeps your email address, a first name if you give one and the subjects you choose.
- You are on the list only after you confirm from your inbox. Every email has an unsubscribe link.
- How you found us is kept only if you tick a separate, optional box.
- Accounts, reservations, tickets, table ordering and membership each keep the details needed to look after your night. They are described below.
- Card details are entered with our payment provider and are never held by The Flower.
- There are no advertising trackers on this site. Any analytics would run only with your consent.
- Your IP address is never kept in readable form.
- We do not sell personal information.
02
Who is responsible
The Flower is an after-hours venue. The business that operates it is responsible for the information described in this notice.
The operator’s registered details, including its registered name and postal address, will be published here before bookings open. A dedicated privacy contact will be published at the same time.
The privacy laws that apply depend on where you live and where the venue operates. Whichever apply, the choices described under your choices are available to every guest.
03
The launch list
When you join through the launch list page, or any sign-up form on this site, we keep:
- Your email address, so we can write to you and recognise you if you sign up again.
- Your first name, only if you give one. It is used to greet you.
- Your subjects, only the ones you choose: VIP & sections, The Flower Society, Nights & events, Food & menus, Entertainer portal.
- Your consent: the version of the wording you agreed to (currently
launch-2026-10) and the date and time you agreed. - Where you signed up: which page of the site the form was on.
- Your status: waiting for confirmation, confirmed or unsubscribed, with the time of each change.
- A short delivery history: that a confirmation email was sent, confirmed or expired, and its delivery reference.
How you found us, only with the extra box
The form has a second, optional box. Only if you tick it do we also keep the campaign details from the link you followed and the address of the page that referred you. If you leave it empty, that information is not sent to us at all.
Confirming by email
After you sign up, we send one confirmation email. Nothing further is sent until you press the confirm button, which works for 48 hours. Asking for a new link retires the older ones.
How the links are protected
The confirm and unsubscribe links each contain a random code. We keep only a scrambled, one-way version of it, so the links cannot be recreated from our records.
After you unsubscribe
Your record is marked as unsubscribed and a scrambled, one-way version of your email address is added to a do-not-email list. That list is kept so that your address can never be emailed again by mistake, even if your subscriber record is later removed. It cannot be read back into an email address.
Why we are allowed to
Because you asked us to, by ticking the consent box and confirming by email. You can withdraw that at any time by unsubscribing.
What the form never asks for
Your age, date of birth, identity document, phone number or payment details.
04
Opening soonAccounts
A guest account is what lets you reserve, hold a pass and join The Flower Society. An account holds:
- Email address and a display name.
- A password, kept only in a protected form that nobody at The Flower can read.
- Phone number, optional.
- Birthday month and day, optional, so we can recognise your birthday. We do not keep a birth year, so this is not a record of your age.
- Your choices, each recorded separately with its date: terms, marketing email, event reminders, birthday recognition, referrals and analytics.
- The time you asked for a copy of your details or their removal, if you have.
Team members, promoters and entertainers use the same kind of account with extra access granted by the venue. That access is checked every time it is used, and a record is kept of who did what and when.
05
Opening soonReservations, orders and membership
Using each of these services creates the records you would expect:
- Reservations and tickets: the night, the section or ticket type, your party size, the names you enter for your guests, amounts, status and the digital pass issued to you.
- Arrival: when your pass was checked at the door, by which team member, and the result. Age and identity are checked in person. No copy or scan of your ID is kept.
- Waitlist and celebration requests: your contact name, an optional phone number, the occasion, your preferred date, party size, a budget range if you give one, your notes and the messages exchanged with the team.
- Table orders: your table, the items, any note you add, the progress of the order and the bill.
- The Flower Society: a member number, your tier, a referral code and your status and reward points. Each change to your points records what it came from.
- Referrals: that one member introduced another guest, and whether the introduction qualified.
- Service notes: the team can add a note to your profile, for example a seating preference, so you are looked after the way you like. Reports written by the team about an incident may describe events involving guests.
We use these to deliver the reservation or order you asked for, to keep the financial and safety records a venue has to keep, and, if you are a member, to work out your status and rewards.
06
Promoters, entertainers and team
People who apply to work with the venue give us more than a guest does:
- Promoters: legal name, a public handle, a short introduction, the decision on the application and, once approved, their personal links, the reservations that came through them and a commission record.
- Entertainers: stage name, legal name, discipline, bio, experience, separate consents for being contacted and for media use, availability, assignments, acknowledgment of venue policies and a record of payments noted by the venue.
- Team members: the role given to their account, their shifts, and the actions they take while working.
Applying is an introduction, not an agreement. Policies and acknowledgments are recorded. No automatic fees, fines or deductions are ever created.
07
Payments
Card details are never held by The Flower. When you pay online, you enter them on a secure form run by our payment provider. We receive and keep only the outcome: the amount, currency, status, the provider’s reference for the payment, and any refund.
The payment provider will be named here before online payments open. The amount you are paying, and the deposit, cancellation and refund terms that apply, are always shown before you pay.
08
Security and misuse
We limit how quickly forms such as the launch list and sign-in can be submitted, to keep them from being misused.
- Readable IP addresses are not kept. To count requests, your IP address is turned into a short, scrambled, one-way value. The launch list counts requests per email address in the same way.
- These counts hold a scrambled value and a time, nothing else, and are cleared after about a day.
- The sign-up form contains a hidden field that people never see. If it arrives filled in, the submission is treated as automated and nothing is kept.
- If a verification check is shown before a form is sent, it is run by a specialist verification service, which receives your IP address and browser signals to tell people from automated traffic.
Our hosting provider keeps ordinary short-lived request logs for its own operation and security. Information travels over an encrypted connection, and access to guest records is restricted to the services and team members who need it.
No service is perfectly secure. If we learn of a breach that affects you, we will tell you as the law requires.
10
Service providers
We work with a small number of service providers. They handle information on our instructions and only for the purposes described here.
- Hosting: serves the website and keeps the short-lived request logs described above.
- Secure data storage and sign-in: holds guest records and looks after account sign-in.
- Email delivery: sends confirmation, account and launch emails. It receives your email address, your first name if given, and the message.
- Payment processing: takes card payments on a secure form of its own, as described under payments.
- Verification: only where a verification check is shown before a form is sent.
Some providers operate in more than one country, so your information may be handled outside the one you live in. Where that happens, we rely on the safeguards the law requires. We do not sell personal information, and we do not share the launch list for advertising.
11
How long we keep things
We keep information for as long as it is needed for the purpose it was given, and no longer.
- Confirmation links stop working after 48 hours, or as soon as a newer one is issued.
- Request counts used to prevent misuse are cleared after about a day.
- Launch list records are kept while you are subscribed or waiting to confirm. After you unsubscribe, the record is kept as proof of your choice until it is removed.
- The do-not-email list is kept on purpose, in scrambled form only, so that an unsubscribed address stays unsubscribed.
- Reservation, order and payment records are kept for as long as tax, accounting and licensing rules require.
- Points and activity records are kept as a running history: a correction is added as a new entry, so you can always see how a balance was reached.
If you ask for your account details to be removed, we remove what we are not required by law to keep.
12
Your choices
Unsubscribe
Use the unsubscribe link in any email. It needs no login and does not expire. It opens a page with one button, and the emails stop as soon as you press it.
Change your subjects
Send the form again with the same address and the subjects you want added. To remove subjects, unsubscribe and join again with the ones you want.
Get a copy of your details, or have them removed
Signed-in guests can request a copy of their details or ask for their removal from the privacy page of their account. The request is recorded with its time and handled by the team. A removal request can be cancelled from the same page while it is in progress. Some records, such as payments, may have to be kept where the law requires it.
Message preferences
Account holders can turn marketing email, event reminders and birthday messages on or off separately from notification settings.
Other rights
Depending on where you live, you may have rights to access, correct, delete, restrict or object to the use of your information, and to complain to a regulator. The tools described above are available to every guest, wherever they live.
13
Children and age
The Flower is a nightlife venue that serves alcohol. This site is intended for adults of legal drinking age, and it is not directed at children.
We do not knowingly collect information from children. The site does not ask for your age or date of birth. The acknowledgment you see on arrival is a statement by you, remembered by your own browser. Valid ID is checked in person at the door.
14
Changes to this notice
We update this notice when a new service opens or when the way we handle information changes. The date at the top of the page shows the current version.
The wording you agree to on the sign-up form is kept with your consent. If we ever want to use the launch list for something materially different, we will ask you again instead of relying on the earlier consent.
15
Questions and requests
A dedicated privacy contact will be published here with the opening. In the meantime, the contact page shows how to reach the team.
The two things most guests need are always available without writing to anyone: you can unsubscribe from any email, and you can request a copy of your account details or their removal from your account.
